1. Overview

This website is operated by ICMG Woodridge on behalf of the Australian Muslims Assets Foundation Limited (AMAF), a registered Australian charity. AMAF is the legal entity that holds and manages property assets associated with the ICMG community, including donations received in connection with the ICMG Woodridge Mosque establishment campaign at 6 Pamela Crescent, Woodridge QLD.

ICMG Woodridge collects and administers a range of personal information for the purposes of running the campaign, communicating with donors and supporters, processing and acknowledging donations, issuing tax-deductible receipts, and meeting our regulatory obligations as a charity. Where this policy refers to "we", "us", or "our", it means ICMG Woodridge and AMAF acting jointly for the purposes of this campaign.

We are bound by the Privacy Act 1988 (Cth) and other Commonwealth and State laws which impose specific obligations when it comes to handling information. We have adopted the Australian Privacy Principles contained in the Privacy Act as minimum standards in relation to handling personal information. We also comply with the Spam Act 2003 (Cth) in relation to electronic marketing.

In broad terms this means that we:

  1. publish our Privacy Policy in full on our website;
  2. collect only information which we require for our charitable functions;
  3. obtain consent to collect personal information;
  4. ensure that when collecting personal information, the person is informed as to our contact details, the fact that they can access their information, why we collect the information, whether any relevant law requires the collection, who we may give the information to, and the consequences should all or some of the information not be provided;
  5. use and disclose personal information only for our primary functions or a directly related purpose;
  6. do not use personal information for a secondary purpose unless consent is obtained;
  7. store personal information securely, protecting it from unauthorised access; and
  8. provide a person with access to their own information, and the right to seek its correction.

2. About This Privacy Policy

We respect your personal information and your right to privacy. Protecting your privacy when handling your personal information is very important to us and is fundamental to how we serve our donors, supporters, and the broader Muslim community. This Privacy Policy describes the information that may be collected by ICMG Woodridge / AMAF, the choices you can make about your personal information, and how we protect your personal information.

This Privacy Policy is published on our website to meet our obligation under Australian Privacy Principle 1.3, which requires us to set out our policies on the management of personal information in a clearly expressed document available to anyone who asks for it.

Your submission of an enquiry, your donation, or your use of this website constitutes an acknowledgement that you have been made aware of our privacy policies.

This policy does not create or confer upon any individual any rights, or impose upon ICMG Woodridge or AMAF any obligations, outside of or in addition to those imposed by the Privacy Act 1988 (Cth), the Spam Act 2003 (Cth), or related legislation. Should there be any inconsistency between this statement and the Act, this statement shall be interpreted to give effect to, and comply with, the legislation.

3. What Is Personal Information

"Personal information" means information we hold about you from which your identity is either clear or can be reasonably determined. When you give us your personal information, it imposes a serious responsibility on us. Protecting your privacy when handling your personal information is very important to us and is fundamental to the way we serve you.

4. Collection Covered by This Policy

This Privacy Policy applies to situations in which ICMG Woodridge / AMAF collects your personal information, including but not limited to collection via websites operated by or on behalf of ICMG Woodridge.

This website may contain links to non-ICMG websites — for example, the PayPal donation page, the broader ICMG Australia website at icmg.org.au, or external resources. We are not responsible for the privacy policies of those other websites. We recommend you review the privacy policies of each site you visit.

5. Collection of Personal Information and How We May Use It

Generally, we will collect personal information directly from you, and only to the extent necessary to respond to your enquiry, process or acknowledge a donation, or carry out our charitable and administrative operations. In limited circumstances a third party may provide your name and contact details to us — for example, where a donor nominates you as a contact for a sponsored element of the future mosque.

We may collect personal information when:

  1. you submit an enquiry, pledge, or general question via our website form;
  2. you request bank-transfer details so you can make a donation directly to AMAF;
  3. you set up a recurring donation arrangement, or you are referenced by a third party in a recurring donation arrangement;
  4. you offer to sponsor or dedicate a specific element of the future mosque (for example, a mihrab, minbar, or naming opportunity);
  5. you offer to volunteer or otherwise help spread the campaign;
  6. you deal with us over the telephone or you have contact with us in person;
  7. you email us; or
  8. you ask us to contact you after visiting our website.

We will collect personal information from you by lawful and fair means and not in an unreasonably intrusive way. We will use your personal information only for the particular purpose that you provided it, or for a directly related purpose. We may otherwise use your personal information where that other use is required or permitted by law, or with your express or implied consent.

6. How Different Information Is Used

We will only collect personal information that is necessary to respond to your enquiry, process your donation, or carry out internal administrative functions. The information we collect varies depending on the type of interaction. Some examples:

Pledge or general enquiry — When you submit the contact form, we collect your name, email address, phone number, the type of enquiry you've selected, any pledge amount you choose to share, and the message you enter. This allows us to respond to your enquiry, follow up on a pledge, or coordinate a partnership or volunteer offer.

Bank-transfer donations — When you request bank-transfer details, we use your contact information to provide AMAF's account details and to follow up after your transfer so we can issue a tax-deductible receipt and acknowledge your contribution.

Recurring donation arrangements — Where you set up a recurring giving arrangement directly with us, we collect the details necessary to administer that schedule and to keep you informed about its status.

Campaign updates — If you have indicated that you wish to receive updates, we use your email address to send periodic progress reports on the fundraising campaign, milestone announcements, and project news.

Spam and abuse protection — When you submit the website form, we also record your IP address, browser user-agent string, and the time the form was loaded relative to submission. This metadata is used solely to detect and prevent automated abuse of the form and is held separately from the enquiry record.

7. Unsolicited Information

If we receive unsolicited personal information from you that we are not authorised to collect under the Privacy Act, we will, within a reasonable period, decide whether we could have collected the information had we asked you for it. If we could not have, we will (where lawful and reasonable) destroy the information or ensure it is de-identified.

8. Your Rights and Choices

Under the Australian Privacy Act 1988, you have the right to access the personal information we hold about you, to request correction of any information you believe is inaccurate, and to make a complaint about how we have handled your personal information. Section 22 of this policy sets out how to contact us to exercise these rights.

You may also choose not to provide certain information. In some cases this may limit our ability to respond to your enquiry — for example, we cannot send a receipt if you do not provide an email address.

9. Direct Marketing and Campaign Updates

We may send you campaign updates, milestone announcements, or invitations to events connected with the ICMG Woodridge Mosque project. We will only send these where you have given consent — either by indicating so on the enquiry form, by responding to a request from us, or where it is otherwise permitted under the Spam Act 2003 (Cth).

Every electronic message we send for these purposes will include a clear means of unsubscribing. You can also withdraw consent at any time by emailing us at the address in section 22.

We do not sell, rent, or share your personal information with third parties for their own marketing purposes.

10. Information Sharing

We may disclose your personal information in the following limited circumstances:

  1. to AMAF (the registered charity), since it is the legal entity that receives and holds donations on behalf of the campaign;
  2. to ICMG Australia, where the information relates to a network-wide programme or where coordination across the broader ICMG community is reasonably required;
  3. to third-party service providers who help us operate the website, process donations, or send communications on our behalf (see section 11);
  4. where required or authorised by Australian law (for example, in response to a lawful request from a regulator or court order); and
  5. where you have given us consent to do so.

11. Third-Party Service Providers

We engage a small number of third-party service providers to support specific functions of the website and the campaign. These providers are bound by their own privacy obligations and may only use the information we share for the purpose for which it was disclosed:

  1. PayPal Australia Pty Limited — processes online donations made via the "Donate via PayPal" link. We do not collect or store credit-card or PayPal account details on this website. PayPal's own privacy policy applies to those transactions.
  2. Microsoft Azure — hosts the rate-limiting table used to detect and prevent automated abuse of the enquiry form. The only personal information written to this store is your IP address, request count, and request timestamps.
  3. Google LLC — provides Google Analytics 4 and (if enabled) Google Ads conversion tracking. These services run only with your consent (see sections 18–20).
  4. Email and hosting providers — used to send confirmation emails and serve the website. These providers process information only as instructed by us and only to the extent required to deliver the service.

12. Updating Your Information

We rely on you to ensure your personal information is accurate, complete, and up-to-date. If your contact details, name, or other information change, please let us know using the contact details in section 22 so we can update our records.

13. Access to Your Personal Information

You may request access to the personal information we hold about you at any time by contacting us using the details in section 22. We will respond within a reasonable period and will provide access in the manner you request unless it is unreasonable or impracticable to do so. There is no charge for making a request, though we may charge a reasonable fee to cover the cost of providing access in some circumstances (for example, where significant retrieval work is required).

If we refuse access — for example, where access would have an unreasonable impact on the privacy of others, or where we are required by law to refuse access — we will provide written reasons.

14. Loss of Personal Information

If we become aware of any unauthorised access to, or loss of, personal information we hold, we will assess whether the incident is likely to result in serious harm. Where it is, we will notify affected individuals and the Office of the Australian Information Commissioner in accordance with the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act 1988.

15. Information Security

We take reasonable steps to protect the personal information we hold from misuse, interference, loss, and unauthorised access, modification, or disclosure. These steps include the use of secure (HTTPS) connections to and from the website, restricted administrative access to enquiry records, and the engagement of reputable infrastructure providers.

No method of transmission over the internet, or method of electronic storage, is 100% secure. While we strive to protect your personal information, we cannot guarantee absolute security, and you provide your personal information at your own risk.

16. Children's Privacy

This website is intended for a general audience. We do not knowingly collect personal information from children under 16 without the consent of a parent or guardian. If you believe we have collected such information without that consent, please contact us using the details in section 22 and we will take steps to delete it.

17. Information Collected on This Website

When you visit our website, our hosting provider's servers may automatically log information including the originating IP address, the date and time of the visit, the pages viewed, and the type of browser and operating system used. This information is used for the operation, security, and statistical analysis of the website.

When you submit the enquiry form, we additionally record the information you choose to enter (name, email, phone, enquiry type, optional pledge amount, message), along with metadata used for spam protection (IP address, user-agent, form-load timestamp).

Spam-protection metadata is retained for a maximum of 60 days. Enquiry records are retained for the duration of the campaign and for up to seven years thereafter to meet accounting, tax, and charity-reporting obligations under Australian law.

18. Google Analytics and Advertising

With your consent, we use Google Analytics 4 to collect anonymised information about how visitors use our website. This helps us understand which pages are most useful and how to improve the campaign experience. Google Analytics 4 does not record your IP address in identifiable form by default.

With your consent, we may also use Google Ads conversion tracking to understand the effectiveness of any awareness campaigns we run. We use Google's Consent Mode v2 so that no analytics or advertising data is sent to Google before you have given consent.

If you have not granted consent — or if you have declined or revoked it — no analytics or advertising tags fire, and Google receives no data from your visit.

19. Cookies

A "cookie" is a small text file that a website places on your device. We use the following cookies and similar storage:

  1. A first-party local-storage entry that records your cookie-consent choice ("granted" or "denied"). This is the only item we set without your consent, and it exists solely to remember your consent decision so we don't ask again.
  2. Google Analytics 4 cookies (set on Google's domain), which run only after you have granted consent. These help measure visitor activity in aggregate. Google's retention policy applies.
  3. Google Ads conversion-tracking cookies (set on Google's domain), where this feature is enabled and only after consent has been granted.

20. Cookie Consent and Your Choices

When you first visit the site, a cookie banner is displayed offering you the choice to accept or decline analytics cookies. Your choice is stored locally and respected across the site.

You can change your decision at any time using the "Cookie Settings" link in the footer. Selecting it re-displays the banner and lets you grant or revoke consent. Revoking consent stops any further analytics and advertising data from being sent to Google during that session.

You can also clear cookies and local storage at any time through your browser's settings. Doing so will reset your consent choice and the banner will reappear on your next visit.

21. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last updated" date. Material changes will be communicated more prominently, for example via the cookie banner or a notice on the homepage. Your continued use of our website or services after changes are posted constitutes acceptance of the updated policy.
